Why product and packaging records differ

A furniture product record and a packaging record can relate to the same item without describing the same thing. The product record may point to a supplied product name, drawing, image or material note. The packaging record may point to a carton reference, label artwork, insert file, crate image or stated package description. Each record can preserve its own source and date field.

Combining them into one paragraph can erase the difference between a product statement and a packaging statement. The combined text may read smoothly while hiding where each detail came from. Separate records make it possible to keep the original material nearby.

Start with the received item

Begin with what actually arrived. Give each file, message or image a short stable label, then retain the original filename, message link or attachment reference. A product image might become FUR-01. A carton artwork file might become PKG-02. The label is a filing handle. It does not describe the object or settle what the object is.

The record can include a received-date field only when the source shows a date. It can list a sender only when the source names one. Where a date, sender or original file is missing, record that absence as unknown. A blank field and an unknown field do not say the same thing. One is empty. Keep material finish and hardware references distinct

A short table can be enough. Adding fields that have no source does not make the file more complete. The record should say what is supplied and what remains unknown.

Give packaging its own source trail

A packaging record can hold material that is different from a furniture record. It may contain carton artwork, an insert file, a package image, a stated package description, a mark image or a filename found in a shared folder. A document reference can record the document name, the issuer shown in the document and a stated destination. A destination source can record a page, message or file supplied for that destination. Neither entry is a conclusion about what the document requires.

Unknown source is not a problem to explain away in the record. It is a record category. Keeping it visible helps later readers distinguish a missing source from a source that was filed elsewhere.

Prepare a discussion packet

A discussion packet can begin with a source index, followed by the product brief, furniture references, material references, finish references, hardware references, sample records, packaging records, document references, destination sources and unknown-source entries. Stable record labels make cross-references easier to follow without rewriting the original files.
