A product source says what the source material contains. A document source identifies a received document. For contract manufacturing China, keeping those entries separate avoids turning a source index into a contract or manufacturing decision.
A document reference does not explain a document. It does not establish a contract, decide a manufacturing arrangement or identify a legal, commercial, quality, safety or compliance outcome. It preserves the file, message or other source that was received.

Product and document records have separate origins
A product brief can preserve a supplied product name, image, message or attachment. A contract-manufacturing reference can retain the exact phrase, file name or message location in which it appears. A document reference can retain a received document name, source location, issuer shown or stated date. These can be listed beside one another without being treated as the same source or meaning.
A product image does not establish a document requirement. A document title does not establish a product specification. A contract-manufacturing phrase does not establish an arrangement. The source index can retain a visible connection only when source material states one. If source material does not state a connection, the relationship should remain unknown.

Start with received product material
Start with the material that names or shows the product. It may be a product brief, image, message or attachment. Give it a stable label such as PRD-01, then retain the original filename, folder location or message link. The label gives a reader a path back to the source. It does not add a product specification, design, development, tooling, material or manufacturing detail.
If a source visibly includes a sender or date, retain the field as displayed. If it does not, record unknown. Do not add a contract-manufacturing arrangement, supplier, component, quality, safety, compliance, price or company name to complete the record.
The product sourcing page can sit beside the source packet as an internal site reference. It does not add facts to an individual product record.
Keep contract manufacturing product document design development tooling and component sources separate
A contract-manufacturing reference may be an image, message phrase or attachment. A document reference may arrive in a different file. Product, design, development, tooling, material and component sources may also arrive separately. Each needs its own label and source location.
Labels such as CMF-01, DOC-01, PRD-01, DSN-01, DEV-01, TOL-01, MAT-01 and CMP-01 make the index readable. A visible connection can be recorded without interpretation. For example, DOC-01 linked to PRD-01 in message MSG-13 retains a stated message relationship. It does not decide a product, document, design, development, tooling, contract-manufacturing arrangement or commercial matter.
A source record should preserve vague material as vague. If an attachment has a file name but no readable source text, preserve its file location and state that the source text is not recorded.
A practical record layout

The entry should remain close to original material. A document source should stay a document-reference entry. It should not become a contract term, document requirement or manufacturing instruction. The same applies to product, design, development and tooling sources.
Preserve document references without interpretation
A document reference can preserve a document name, file name, message location, issuer shown, stated date or attachment identifier. It may be linked to a product record when supplied material visibly makes that connection. It should not be interpreted as a contract, document requirement, destination requirement, quality record, compliance record, price, payment or commercial term by the source index.
The NIST traceability framework material is manufacturing supply-chain traceability information. It describes a framework for organizing, linking and querying traceability data. Its limited role here is to distinguish records and visible links between them. It does not define contract manufacturing, select an arrangement, evaluate a supplier, verify a record, determine data integrity, validate a product, inspect, test, accept, reject, certify, determine compliance or predict an outcome.
A record can say DOC-01 linked to PRD-01 in email E-09 if the email visibly states that link. The same record cannot add a conclusion about a contract, product development, tooling, price, quality, safety, compliance or commercial outcome.
Keep destination sources separate
A destination source can retain a page, message or file that names a destination. A document reference can retain a received document name and source location. Neither is a product, design, development, tooling or contract-manufacturing decision.
The Common Export Documents material and Special Documents material are public U.S. export-document information. They are included only to distinguish document sources from product and contract-manufacturing references. They do not decide a document, destination requirement, customs action or shipment process for a contract-manufacturing arrangement.

Preserve unknown sources
Unknown source is a valid record category. The entry should state what exists and which source fields are absent.
For example: Unknown source: document-related file in shared folder; original sender, date and related product brief not recorded. This records a location and a source gap. It does not decide a document, contract manufacturing, product, design, development, tooling, quality, safety, compliance or commercial meaning.
Unknown fields keep the source packet accurate. They prevent a later explanation from looking like original source material.

A discussion packet can begin with a source index. It can then retain product briefs, product specifications, contract-manufacturing references, product references, document references, design references, development references, tooling references, material references, component references, sample records, packaging records, label references, destination sources and unknown-source entries.
